Abstract

The clearance process for graduating students in most academic institutions is often time-consuming, inefficient, and prone to delays due to its manual nature. This project focuses on the design and development of an online clearance system specifically tailored for graduating students at the Federal Polytechnic Ado-Ekiti. The primary goal of the system is to streamline and automate the clearance procedure, reducing the administrative burden on both students and staff while ensuring accuracy and timeliness. The system integrates various departmental requirements into a centralized platform, allowing students to submit and track their clearance requests online. Key features include user authentication, document submission, real-time tracking, automated notifications, and a dashboard for administrative staff to manage clearance approvals. This project employs a combination of web technologies such as PHP, MySQL, HTML, and CSS for development, ensuring a user-friendly and secure interface. Through this system, the traditional bottlenecks associated with manual clearance—such as physical file handling, excessive paperwork, and prolonged wait times—are significantly minimized. The successful implementation of the online clearance system not only improves administrative efficiency but also enhances the overall student experience, paving the way for similar digital solutions in other institutions.
