Abstract

ABSTRACT The continuous increase in student enrollment in Nigerian universities has placed significant strain on available hostel facilities, leading to challenges in room allocation, occupancy monitoring, and record management. At Zamfara State University Talata Mafara (ZAMSU), hostel allocation is still largely managed through manual processes, which are prone to delays, duplication, and inefficient record-keeping. This study was therefore undertaken to develop a Smart Hostel Management System that automates the process of student accommodation, ensuring efficiency, transparency, and intelligent room allocation. The system was designed and implemented using PHP, MySQL, HTML, CSS (Bootstrap framework), and JavaScript, following a structured system development lifecycle approach that includes analysis, design, implementation, and testing. The architecture of the system integrates a smart allocation algorithm capable of assigning rooms based on parameters such as student gender, level, department, and room capacity. A real-time occupancy dashboard was developed to enable administrators to visualize the status of hostel rooms using color codes green for available, yellow for nearly full, and red for full thereby simplifying decision-making and monitoring. The system database consists of interconnected tables for users, rooms, hostels, and allocations, ensuring referential integrity and facilitating fast data retrieval. Testing was conducted with simulated student and hostel data, and results showed that the system significantly reduced allocation time, eliminated duplicate records, and improved overall efficiency by over 70% compared to the manual process. Administrators were able to perform real-time monitoring of occupancy status, while students accessed allocation details seamlessly through their login dashboards. In conclusion, the Smart Hostel Management System successfully achieved its goal of automating hostel operations and introducing intelligence into room allocation and occupancy management at ZAMSU. It provides a scalable and user-friendly framework that can be adopted by other higher institutions to enhance accommodation management and improve administrative productivity. Future enhancements may include the integration of hostel fee payment, maintenance reporting modules, and mobile access through Android or iOS applications.
