DESIGN AND IMPLEMENTATION OF AN ONLINE HOSTEL MANAGEMENT SYSTEM ( A CASE STUDY OF ABIA STATE POLYTECHNIC ABA, ABIA STATE)

ABSTRACT Enhance hostel information system is software developed for managing various activities in the hostel. For the past few years, the number of educational institutions is increasing rapidly, thereby the number of hostels is also increasing for the accommodation of the students studying in this institution. Hence, the challenges on the persons who are running the hostel and software are not usually used in this context. This particular project deals with the problems on managing a hostel and avoids the problems which occur when carried manually. Identification of the draw backs of the existing system with the system which is more user friendly and more GUI oriented. We can improve the efficiency of the system, thus overcome the drawbacks of the existing system. Some problems were identified such as high cost of living accommodation outside school premises on students, with the implementation of the new system, people can report damages from their comfort zone in the hostel without necessary visiting the admin office and different individuals can access information concerning any room by themselves at the same time simultaneously obtaining affordable accommodation in the institution. In the system we can easily manage hostel details, room details, student records, mess expenditure, mess bill calculation, easy way of room allocation and hostel attendance. We can improve the efficiency of the system. The aim of enhanced hostel management system is to automate the existing system by the help of computerized equipment and full-fledged computer software, fulfilling their requirements so that valuable data can be stored for a longer period with easy accessing and manipulation of the same. The required software and hardware are easily available and easy to work with. Basically the project describes how to manage for good performance and better services. Enhanced hostel management as described above, can lead to error free, secure, reliable and fast management system. It can assist the user to concentrate on their other activities rather to concentrate on the record keeping. Thus it will help institutions in better utilization of resources. The institution can maintain computerized records without redundant entries, which means that one needs not be distracted by information not relevant while being able to reach the information. The methodology used for this project wok is the SSADM which fully means structured system analysis and design methodology, the type of SSADM used is the data flow model because at breaks down the project research into stages, steps, modules and tasks.
