Abstract

ABSTRACT The clearance process for newly admitted students in higher education institutions is a mandatory administrative procedure that ensures students meet all institutionalrequirements before official registration. Traditionally, this process has been manual, paper-based, and prone to inefficiencies such as long queues, misplaced documents, lack of transparency, and delayed approvals. This research presents the design and implementation of an Online Clearance System for Newly Admitted Students to address these challenges. The system is a web-based platform developed using Django, PostgreSQL, and integrated with Remita for real-time verification of student fee payments. It features role-based access control, allowing students to upload required documents, monitor clearance status, and receive real-time notifications, while clearance officers can review, approve, or reject submissions, and administrators can manage users and generate reports. The system automates verification workflows, improves document security through digital storage, and provides transparency through real-time status tracking. Functional testing demonstrated that the system successfully handles document submission, departmental approval, and financial verification with high accuracy and minimal processing time. Security evaluations confirmed that sensitive data is protected, access is restricted to authorized users, and audit logs maintain accountability. The system significantly reduces the administrative burden, eliminates delays associated with manual clearance, and improves the overall efficiency and transparency of the clearance process. The study concludes that the implemented Online Clearance System provides a practical, secure, and efficient solution for student clearance, aligning with global trends in digital transformation of higher education administrative processes.
