Abstract

Managing academic staff records using manual or poorly secured systems poses significant risks, including data loss, unauthorized access, and inefficiency,. This project presents the design and development of a secure electronic record management system specifically for academic staff at Federal Polytechnic Kaura Namoda. The system aims to provide a centralized and reliable platform for storing, updating, retrieving, and managing staff information such as personal details, employment history, academic qualifications, promotions, and leave records. Key features include role-based access control, data encryption, audit logging, and secure authentication to ensure confidentiality, integrity, and availability of staff records. The system was developed using modern web technologies including PHP, MySQL, HTML5, CSS, and Javascript, with a focus on data security and ease of use. By replacing manual and fragmented record-keeping methods, the proposed system reduces administrative workload, enhances data accuracy, and improves access to critical information for decision-making. This research recommends wider adoption of secure digital record systems across departments to improve institutional data management and governance.
