Abstract

This study was carried out to determine the emerging challenges of Electronic Records Management in tertiary institutions in Kogi State. Survey design was adopted for the study. Four research questions and two null hypotheses were formulated. The population for the study comprised 291 office workers from eight tertiary institutions in Kogi State. Structured questionnaire was used for collection of data. 168 copies of questionnaire were administered; while 145 copies (representing 86.31%) were returned. Data collected were analyzed using Mean and t-Test Statistics. Based on the analysis, the following findings were made: the retention challenges of electronic records management include: lack of retention policies; inadequate storage infrastructure; vulnerability to cyber threat, lack of trained staff and inconsistent recovery plans; disposal challenges include: lack of disposal policies; fear of data loss; absence of disposal tools, unskilled staff and retention of unnecessary records; security challenges include: vulnerability to security threats, unauthorized access to confidential records; leakage of sensitive records, intentional alteration of records and inadequate encryption of sensitive records; skill challenges include: limited knowledge of digital archiving, lack of cybersecurity awareness, poor metadata and indexing skills, limited skills in data recovery and backup management and inability to manage cloud-based ERM solutions. The t-test result revealed that male and female secretaries share similar view on the retention and disposal challenges of electronic records management in tertiary institutions in Kogi State. Based on the findings, institutions should develop and implement comprehensive records retention schedules and policies; invest in secure electronic records disposal infrastructure and staff training, establish robust cybersecurity frameworks and prioritize continuous professional development programs for records management staff.
