The study adopted a survey research designed where a primary method of data collection was used in which a sample of 222 close ended questionnaires were prepared based on the research questions and administered to the respondent in the study area. However, for the purpose of analysis, the study uses 5-Point Likert Scale Rating in form of tables to analyses respondent information. Based on the findings the study concludes that, effective record keeping is vital for the smooth operation of the Administrative Department at the Billiri administration. However, several challenges, including inadequate resources, outdated systems, and insufficient training, have compromised the department's ability to manage records efficiently. Addressing these issues is essential to enhance the overall administrative effectiveness and ensure that records are properly maintained, easily accessible, and secure. However, in line with the conclusion this study recommends that, Billiri local government administration should invest in modern record keeping technologies and provide regular training for administrative staff on effective record management practices. The institution should also develop and enforce comprehensive record keeping policies and ensure that adequate storage facilities are available. Additionally, the creation of a dedicated records management unit within the Administrative Department could improve the organization and accessibility of records.
