AUTOMATION OF ONLINE CLEARANCE AND TRANSCRIPT GENERATION PROCESS
Abstract
In today’s interconnected digital environment, this project, titled “Automation of Online Clearance and Transcript Generation Process at Moshood Abiola Polytechnic,” aims to design and implement an automated system that streamlines the clearance and transcript processing for graduating students; the existing manual procedure at the institution is slow, inefficient, and prone to human errors, leading to delays and student dissatisfaction; the automated system leverages modern web technologies and database management systems to create a centralized platform where students can initiate clearance requests, track approval statuses in real-time, and request official transcripts electronically; the system integrates departmental workflows—such as Bursary, Library, Sports, Students’ Affairs, and the Head of Department—into a unified digital framework that reduces paperwork, enhances data accuracy, and ensures faster processing times; the research methodology involves system analysis, design, implementation, and evaluation, emphasizing usability, security, and scalability; through automation, administrative staff can efficiently approve or reject clearance requests, manage academic records, and generate transcripts automatically from verified student data; the system also incorporates secure authentication, role-based access control, and notification features to ensure accountability and transparency; the benefits of this system include reduced administrative workload, elimination of redundancy, improved data security, and enhanced service delivery; by embracing automation, Moshood Abiola Polytechnic can align with global digital transformation trends, improve institutional reputation, and deliver a seamless experience to both students and administrators.
