DESIGN AND IMPLEMENTATION OF AN E-PASS SYSTEM FOR EDO STATE UNIVERSITY IYAMHO
Abstract
The management of student movement in academic institutions is a critical component of
campus safety and administrative accountability. Traditionally, the exeat system used to track
student exits and returns has been handled manually, leading to challenges such as poor recordkeeping, delays, lack of transparency, and security risks. This project presents the design and
implementation of e-Pass, an automated web-based exeat management system developed for
Edo State University Iyamho. The system streamlines the exeat process by allowing students to
submit requests online, which are then reviewed and approved by designated hall officers. Upon
approval, security personnel validates student’s pass at the point of exit. Developed using PHP,
MySQL, HTML, CSS, and JavaScript, the system supports role-based access, real-time
notifications, and activity logging. The e-Pass system enhances efficiency, promotes
accountability, reduces paperwork, and improves student safety through secure, digital tracking
of movements. Extensive testing, including unit and user acceptance testing, confirms the
reliability and effectiveness of the system. This project demonstrates how digital transformation
can address institutional challenges through intelligent, user-centered solutions.
