Abstract

ABSTRACT The Template-Based Onboarding Assistant is a modern web-based solution developed to enhance, automate, and personalize the employee onboarding experience in contemporary organizations. Employee onboarding traditionally relies on static manuals, repetitive orientation sessions, and inconsistent tracking processes, often resulting in low engagement, information overload, and prolonged adaptation periods for new hires. This project aims to address these limitations by introducing a centralized, interactive, and datadriven onboarding system that enables administrators to design flexible templates tailored to specific roles or departments. The system allows administrators to create and manage onboarding templates using a dynamic drag-and-drop editor. Each template can include text, images, videos, and interactive quiz modules that reinforce learning and measure comprehension. Once published, each template generates a unique link that can be shared with new hires, ensuring personalized onboarding experiences. The new hire interface provides structured access to content, a progress bar for visual tracking, and quiz checkpoints that must be completed before advancing, thereby improving retention and accountability throughout the process. The system was developed using React.js for the frontend to ensure a responsive and intuitive user experience, while Firebase was employed for backend operations such as authentication, cloud storage, and real-time database updates. The Agile development methodology guided the project’s iterative implementation, testing, and refinement stages. Each development sprint focused on achieving modular functionality starting from user authentication to template creation, quiz integration, and performance tracking. The platform was tested through simulated onboarding sessions to assess usability, performance, and engagement outcomes. vii Evaluation results demonstrated improved user engagement levels and faster onboarding completion times compared to traditional manual processes. Administrators reported greater flexibility in content management and real-time monitoring of new hire progress, while new hires found the interface user-friendly and informative. The quiz integration feature significantly contributed to knowledge retention, and the automated template publication system enhanced efficiency and consistency across departments. The Template-Based Onboarding Assistant effectively bridges the gap between technology and human resource management by simplifying complex onboarding workflows. Its scalability, accessibility, and automation capabilities make it a robust tool for organizations seeking to modernize their onboarding operations. The system’s modular nature ensures adaptability across industries, promoting engagement, efficiency, and long-term employee success.
